Privacy Policy

Effective Date: September 2026

Daxtech IT Solutions (“Daxtech,” “we,” “our,” or “us”) respects the privacy of individuals and is committed to protecting personal information in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and the British Columbia Personal Information Protection Act (PIPA).

Scope of This Policy

This Privacy Policy applies to personal information collected through our website, managed IT services, cloud solutions, cybersecurity services, client communications, and business operations. Where Daxtech acts solely as a service provider processing data on behalf of a client, such processing is governed by contractual agreements.

Personal Information We Collect

We collect only the personal information necessary to deliver our services, operate our business, and maintain our website. This includes:

Information You Provide

In the course of using our services or interacting with our website, you may provide information that identifies you or allows us to contact you, including your name, email address, phone number, and business information. We also collect client account and service-related information, billing and payment-related details, and recruitment and employment-related information where applicable.

Use of Analytics, Tracking, and reCAPTCHA

We use the following third-party service providers to monitor and analyze the use of our website and to help protect it from abuse:

  • Google Analytics (GA4): Google Analytics is a web analytics service that tracks and reports on website traffic. We use Google Analytics to understand general patterns in how visitors use our website, such as which pages are viewed, how long visitors stay, and how they get to our site (via direct search, paid ads, etc.). Google Analytics also collects standard technical details like device type, browser, and general location, similar to most website analytics tools. This data may be shared with other Google services. You can decline this tracking by installing the Google Analytics opt-out browser add-on, or by contacting us to request exclusion from analytics collection. For more information on how Google handles this data, see the Google Privacy Policy.
  • Microsoft Clarity: Microsoft Clarity is a website analytics tool that records how visitors navigate and interact with our website. It works by capturing session recordings and heatmaps, which show things like which pages a visitor moved through, where on a page they clicked, and how far they scrolled. We configure Clarity in strict masking mode. Under this setting, any text or images on the page are automatically replaced with placeholder marks (such as blocked-out shapes) before the recording ever leaves the visitor’s browser. This means the recording itself is still sent to and stored by Clarity, but the actual content within it, such as anything a visitor types into a form, or the specific text or images on the page, is never visible to us or to Microsoft. What we see in a session recording is navigation and click activity, with all text and images obscured. Clarity also collects standard technical details such as device type and general location, similar to most website analytics tools. You can decline this tracking by contacting us to request exclusion from analytics collection. For more information on how Microsoft handles this data, see the Microsoft Privacy Statement.
  • Google reCAPTCHA: We use Google reCAPTCHA on our website to help prevent fraud and abuse in forms. reCAPTCHA collects certain device and browser information and sends it to Google for analysis. This information is used to improve reCAPTCHA and for general security purposes, and is not used for personalized advertising. Use of reCAPTCHA is also subject to Google Privacy Policy and Terms of Use.

How We Use Personal Information

Personal information is used to:

  • Deliver, manage, and support our IT and technology services
  • Communicate with clients and respond to inquiries
  • Manage billing, contracts, and business relationships
  • Improve our services, systems, and website, including through website analytics and performance monitoring
  • Meet legal, regulatory, and contractual obligations

Disclosure to Third Parties

We do not sell personal information. We may share personal information with trusted third parties who support our services and who are bound by confidentiality obligations to Daxtech. We may also disclose personal information when required by law or legal process, in connection with a business transaction such as a merger or acquisition, or where necessary to protect the rights and safety of Daxtech or its clients.

Analytics service providers such as Google and Microsoft, receive website usage data as independent service providers and process it under their own respective privacy policies and terms. Some third parties, including Google and Microsoft, may process or store information outside of Canada, including in the United States, where it will be subject to the laws of that jurisdiction.

Cookies and Website Use

Our website uses cookies and similar technologies to support functionality, analyze performance, and enhance user experience.

We use the following categories of cookies:

  • Necessary Cookies: Required for the website to function properly.
  • Analytics Cookies: Used by Google Analytics and Microsoft Clarity, as described in the Use of Analytics, Tracking, and reCAPTCHA section above, to help us understand how the website is used. You may decline this tracking by contacting us via the email at the bottom of the policy.

Data Security and Retention

Daxtech uses administrative, technical, and physical safeguards appropriate to the sensitivity of the information. Personal information is retained only as long as necessary to fulfill its intended purpose or legal requirements and is securely destroyed or anonymized when no longer needed.

Usage data collected through Google Analytics is retained for up to 24 months from the date of collection.

Data collected through Microsoft Clarity is retained as follows:

  • Click data, including page URLs and pointer position, is retained for 9 months
  • Session recording playback data is retained for 30 days

Consent and Your Choices

We obtain consent for the collection, use, and disclosure of personal information as required by law. Consent may be express or implied depending on the context. For non-essential website tracking, such as analytics and performance cookies, you may request that your data be excluded from future collection by contacting us using the information in this policy. You may withdraw consent at any time, subject to legal or contractual limitations.

Your Rights

You have the right to request access to the personal information we hold about you and to request that we correct any information that is inaccurate or incomplete. To make a request, contact us using the information in this policy. We may need to verify your identity before responding to a request, and we will respond within a reasonable time and in accordance with applicable law. In some cases, access may be limited or refused as permitted or required by law, for example where it would reveal personal information about another individual or is subject to solicitor-client privilege.

Breach Notification

In the event of a breach of security safeguards involving personal information under our control that creates a real risk of significant harm to an individual, Daxtech will notify affected individuals and report the breach to the applicable privacy regulator, in accordance with the requirements of PIPEDA and BC PIPA. We will also take reasonable steps to contain and investigate any such breach and to reduce the risk of further harm.
